Showcase Volunteer Signup for Day of Shows & Arrival Times

The Vibe’s Showcase Committee has a long list of volunteer positions to be filled for the 2 days of our shows.  Please click here to access the Vibe 2024 Dance Showcase Signup Genius.    

A couple of reminders about the Signup Genius:

  • Signup Genius has been pre-populated with all Showcase Chair and core committee positions (ie..decorations, lead room moms etc).
  • Every Vibe family is obligated to volunteer at least one position during Showcase.   We have MANY positions to fill in order to ensure Showcase goes off “without a hitch!”  This is the best time of the year to earn your hours towards the 12 hours required from each dancer family (20 hours for families with two or more dancers). Please note that many of  these volunteer roles only require up to 1 hour of your time, so you will likely want to sign up for multiple volunteer positions across both days.    
  • Please be aware of any time conflicts when signing up for multiple roles. For instance, you can not be a Lead Group Mom and Concessions Sales for the same show as you would be needed in both roles at the same time. However, you could easily be a Lead Group Mom for the Saturday show and Concessions Sales for a Sunday show, as an example.

In addition, you can access the Volunteer Hours Tracking Form on the Member Information Page at any time throughout the season to log your volunteer hours.

A few important notes about Showcase:

  1. Only registered volunteers assisting with backstage duties and Lead Group Moms for
    each group are allowed backstage during Dress Rehearsal. Lead Group Moms for Saturday, February 17, will assist during Dress Rehearsal AND Show #1. If you are registered for other volunteer positions throughout the weekend, please note your arrival times on the Sign-up Genius (link above).
  2. Dancer Arrival Times on both days of Showcase. Please arrive promptly on February 17 and 18.  These times have been added to the Master Calendar.
    • Saturday, February 17 Arrival Time: 10:00 AM 
      • All dancers may put on first costume at the venue
      • Saturday’s Dress Rehearsal will start promptly at 10:45 AM
    • Sunday, February 18 Arrival Times: 11:45 AM
      • Elite/Premier Jazz Line (Proud Mary) and Prodigy Contemporary (By The Wings) must arrive at the venue in their first dance costume!  All other dancers may put on their first costume at the venue.
  3. All dancers must arrive with competition hair and make-up completed.

In Studio Dress Rehearsals

In Studio Dress Rehearsals and updated time for Hair & Makeup Day (NEW Members Only) have been updated on the Master Calendar. Please make sure you keep your dancer’s schedule updated, and remember ALL rehearsals are mandatory from here on out.  

Hair & Makeup Day

Sunday, February 4th 1:00-3:00pm at the Studio. REMINDER: This is for NEW MEMBERS only and is mandatory for BOTH mom and dancer.

In Studio Dress Rehearsals

Dancers and Moms are required for In Studio Dress Rehearsals for each group.  See dates by group below. Here is what to bring/expect:   

  • This is a FULL COSTUME/dress rehearsal at the Studio for both the dancer and mom to learn what will be required with all costumes. It is very important that moms attend at their group’s designated time, especially for the older groups (Prodigy, Premier, Elite), in case there are other alterations needed or undergarments that need to be purchased.   NOTE: If you are unable to attend, please ask another mom in your group to work with your dancer during Dress Rehearsal to relay information to you about any costume adjustments, etc. that are needed for your daughter.  
  • This ‘dress rehearsal’ is when costumes will be tried on, checked for alterations and changes needed, etc. The dancers will run through their dances in the costume to confirm that it is “stage ready.”   Competition Hair and Make-up are not required for this Dress Rehearsal.
  • Please bring ALL costumes (that you have in hand), AND, please make sure that ALL pieces of the costume are labeled with your dancer’s name.  Bring competition shoes and tights.    
  • Please be on time!   
  • If your dancer’s Dress Rehearsal is scheduled at the studio during their class time, they will still have class before or after their group’s scheduled Dress Rehearsal time.
    • Bravo –  Thursday, February 1  6:00pm-6:30pm
    • Ovation –  Tuesday, January 30  6:00pm-7:30pm 
      • Rehearsal with Cheryl from 5-6, NO ballet class. Parents be ready to start Dress Rehearsal promptly at 6:00
    • Prodigy – Monday, January 29 6:45-8:30pm
      • Rehearsal with Madison from 6-6:45. Parents be ready to start Dress Rehearsal promptly at 6:45
    • Premier – Monday, January 29 6:00-8:00pm
    • Elite – Tuesday, January 30 6:00-8:30 

Make-up & Earring Orders: Due This Friday!

A couple of updates on Make-up and Earrings:

  1. The “Items Needed for Competition” document has been posted to the Member Information section of the website.  Please make sure you review this document ASAP.    You will see the “**NEW**” indicator beside this document. 
  2. It is time to order your dancer’s competition earrings and competition make-up.    Click here to access the Competition Make-up & Earrings Order Form. We need all orders placed by THIS Friday, January 12, 2024 end of day. 
    • Returning members, please take an honest assessment of your dancer’s make-up from last year.  Make sure they have the eyeshadow and blush palette as well as the REBEL red lipstick.  If either of these are missing you must place a new order for this year.  
    • Earrings are also included in the Order Form. Please place an order by the deadline if you need another pair or 2.   Members should have 2 pairs of earrings for competition (one to wear and one as a backup).     
  3. For new members, we know this list may look ‘large’, so feel free to reach out to your group mom should you have questions regarding any items on the list.

2024 Vibe Showcase Show Order & Ticket Sales Info

The show dates and times are: Saturday, February 17 at 4:00pm, and Sunday, February 18 at 1:00pm. 

Venue:  Duluth High School, 3737 Brock Rd NW, Duluth, GA 30096 

Showcase Ticket Sales Information

Tickets are $25 online sales, via our ticketing website, and $30 per ticket on the day of the show (to be sold at the venue).

Each Vibe member/family is required to sell or purchase at least 10 tickets to Showcase (between the 2 shows) per Vibe Member Contract. Remember to place your dancer’s name into the “Dancer’s Name” field during the Checkout process (at the time of purchase) since we are tracking # of tickets sold by dancer family.

This season, we are implementing a change to the ticket purchasing process.  This change is to reduce buying unused or unwanted tickets to simply meet the 10 ticket requirement, leaving empty seats on the day of the show with limited seating at the venue.  We hope this change reduces the pressure to sell tickets to fulfill your Vibe Member Contract obligation and allows more seating options for those guests who can attend the show.  We ask that you only purchase tickets for guests who are committed to attending the show. Changes to ticket sales are as follows:

  • Please purchase the exact number of tickets for your guests who have committed to attending the show.
  • Please do NOT purchase tickets if you have not received commitment from guests to attend a show only to meet your 10 ticket commitment.
  • If your 10 ticket obligation is not met after online ticket sales close to the public, you will be invoiced for the remaining balance payable through Square or by  check (payable to the Vibe Performance Company).  

Below are details about the timing of Ticket Sales:

  • Showcase Tickets will go on pre-sale via our online ticketing website to Parents of Seniors on Tuesday, January 9 at/around 9am.  Parents of Seniors will be allowed to purchase up to 20 tickets for both shows at this time.  Once ticketing goes on sale for other Vibe members the next day, you may purchase more tickets at that time.  Please be on the lookout for an email from the Vibe GMAIL account (not a web post) with Ticket Sales information next Tuesday.
  • Showcase Tickets will go on pre-sale via our online ticketing website to all other Vibe members only on Wednesday, January 10 at/around 9am.  Please be on the lookout for an email from the Vibe GMAIL account (not a web post) with Ticket Sales information next Wednesday.    
  • On Monday, January 15, Showcase details will be posted to our website as a web page and web post for general public ticket purchases.

Below are important notes about Day of Show (to explain to your guests when inviting them): 

  • There will be a short intermission in each show, where concessions will be sold.
  • We are offering 2 Dancer Gift options this year. They will be sold pre-sale and at the venue, while quantities last. There will be a separate web post next week explaining the dancer gift options and how to purchase.

Happy New Year to all Vibe Members and Parents!!   We are looking forward to seeing everyone!  Lots of rehearsal times have been added to the master calendar, please make sure you keep your dancers calendars up to date.  **REMINDER:  All rehearsals are mandatory from this point forward. There will be rehearsals every weekend so please keep weekends open…just because there isn’t something currently scheduled on the calendar do not assume it is an open weekend.   

The Conflict form has been turned off. If you have an unavoidable conflict you need to communicate, please reach out to Cheryl directly. 

Also,

Cheryl has created the Solo, Duo, Trio Signup Genius for this season. Click here to access the Signup Genius. Everyone must wait until they receive the email before signing up.

Make sure that you note on the Signup Genius whether you are signing up for your dancer’s solo, duo, or trio rehearsal.   Please make sure that only 1 mom or dancer signs up for a given slot for a duo or trio.

You may only sign up for one slot each time new dates are posted. After 3 days, if there are still spots open, dancers who do not have a solo/duo/trio and would just like a private lesson for technique are eligible to book. These dancers should be prepared to come to their private lesson with an agenda of what they want to work on. 

Dancers, please remember the following:

  • Please bring your music to the private lesson.
  • Please bring payment ($35 for a 30 minute session with Cheryl or Madison) at the start of each rehearsal.  There is no option to have this charge added to your FootNotes account.  All dancers must pay the instructor directly by either check, Venmo, or cash.
  • If your dancer is unable to attend your booked rehearsal session, you must notify FootNotes at footnotesdance@comcast.net, at least 24 hours ahead of your scheduled time.   If you ‘miss’/forget a rehearsal that you have signed up for, you are still responsible for the payment to the instructor.
  • As always, dancers are always free to book an empty room to practice on their own.

Studio Booking Process

We will be using Calendly to book rooms for practices and/or to log your required rehearsals for solo, duo or trios. Click here to access the FootNotes booking page on Calendly.

  • Solos, duos or trios must log 1 hour each month in the studio on your own. 
  • These bookings are for rehearsing/practicing, not playtime. 
  • These bookings are dancers only. No parents are allowed in the studios unless the dancer is under the age of 11. 
  • Dancers are not allowed to share the room with any other dancer while logging your required rehearsal time (except in a duo or trio). It is on your own. 
  • Dancers 5th grade or younger are not allowed to share the room with other dancers at any time. You may have a parent present if needed. 
  • Bookings are done in 15 minute time slots. You may book for up to 2 slots a day. We will see how this goes before placing any other restrictions. 
  • You will get a confirmation email once the booking is confirmed.
  • You will be charged at the end of each month with a fee of $5.00 per 15 minute slot.  
  • Your booking is subject to cancellation due to changes in room availability. At which time you will receive a cancellation notice via email.

Sign the waiverThis IS A REQUIRED document that must be signed in order for your dancer to participate at NRG, so it must be signed digitally by Wednesday, January 4.  Click here to access the link to sign the NRG My Dancer waiver.  Link is also included in the NRG document on the web page above. Once you have electronically signed the waiver, you will receive an email confirmation asking you to click a link to CONFIRM YOUR EMAIL ADDRESS.  Please make sure you finish this step to complete the waiver submission process. 
  2. If you are available to chaperone the event (we need 6 chaperones each day – 2 for each age grouping), please Click here to access the SignUp Genius to sign up to chaperone.  You can also access the Signup Genius in the NRG document linked on the web page above.
  3. Your Group Mom will be coordinating the transportation plan for your group to and from the Hotel (groups generally car pool).  We find that having the group mom coordinate this for each team works out best for the team.  She will be in touch soon with planning.

Get Your Tights (and Shoes)!

The Competition Tights List has been updated on the Shoe & Tights Buying Guide webpage.  EACH GROUP should review the spreadsheet to see what type and color of tights your dancer needs. In addition, all of this season’s shoe styles for your Vibe dancer are now available.

Please Click Here to access the Shoe & Tight Buying Guide web page.   You will see the Tights Buying Guide listed at the bottom of the web page. Please purchase these ASAP, so you have them in hand for dress rehearsals.

REMINDERS:

  1. It is recommended that each dancer have at least 3 pairs of each style of tights on hand at all times as rips, runs and tears are common!
  2. Please make sure that you check the correct dance group for your dancer, and also make sure you are choosing the correct color of tights to purchase.

Other costume/tights selections are still being finalized for some groups since costumes are still being delivered. We will add other tights selections to the list as soon as they are known. We will send out another blog post when we have updates.

Holiday Party Details & RSVP!

Footnotes in Flannel 2023 (004)

Our annual “FootNotes in Flannel” Holiday Party & Gift Exchange which will be held on Sunday, December 10 at 11:00am at The Falls at Autry Mill clubhouse (address is: 9825 Autry Falls Dr, Alpharetta, GA 30022).

To Do’s for the Holiday Party:

  1. Please RSVP for dancer and 1 parent (if a parent is attending) no later than Monday, December 4. Click here to access the RSVP form.
  2. Dress is comfy, cozy attire in holiday flannels!  Think PJs, onesies, sleep pants, sweatshirts, slippers in fun flannel patterns! Have fun with it!
  3. Please bring a $15 wrapped gift to the party for a Gift Exchange Game that will be played with all of the Vibe dancers together. Everyone will go home with a gift from another Vibe dancer.  You do not need to purchase a second gift for your Big or Little Sister.
  4. Each year at our Holiday Party, we ask our dancers to “pay it forward” to a local nonprofit charity…a little way of recognizing how fortunate we all are at this time of year.  Susie Koagel & Jessica Munday, our Community Service chairs, have been working with the Smasherson Foundation as our holiday philanthropy this year.  We wanted to give back to a worthy cause, as well as honor a foundation that is near and dear to the hearts of our dance family with our donation.

    During the VIBE holiday party this year, the girls will be putting together meaningful bracelets and encouragement cards that will go into calendars made for the patients that has a small gift for each time the patient has a radiation treatment.  All the supplies for the bracelets and cards have already been purchased for the girls to complete the project. We do ask that each dancer to browse the Amazon Wish List and purchase an item that can be donated to fit into one of the Radiation Calendar slots to help us support our cause. Optional:  As an additional show of support for this amazing charity, our committee chairs will be assembling one or two gift baskets for the mothers of the patients currently undergoing radiation.  If you would like to contribute an item in addition to the item purchased from the Amazon wish list above, click here for the Sign Up Genius for additional items needed.  This is a 100% optional ask.
